1. Purpose and Scope
This Integrated Policy explains the terms and conditions that apply when you make payments on GPDS GAME SHOP, our refund and cancellation procedures, and how we collect, use, store, and protect personal and payment-related data. It covers all payment channels we support, including credit/debit cards, bank transfers, QR and e-wallets, mobile carrier billing, buy-now-pay-later or installment services, prepaid vouchers, and any optional cryptocurrency payments. By placing an order with us you agree to the terms set out in this document and our broader Terms & Conditions and Privacy Policy.
2. Definitions
- “We”, “us”, “GPDS GAME SHOP” — the merchant operating gpdsgameshop.com.
- “You”, “Customer” — the person or entity placing an order.
- “Payment Processor” — third-party provider(s) that handle payment authorizations, captures, refunds, tokenization and storage. (e.g., Xendit, MPAY).
- “Payment Method” — the channel used to pay (card, bank transfer, e-wallet, etc.).
- “Card Data” — card number, expiry date, CVV/CVC (not stored by GPDS unless explicitly noted and then only as a token via processor).
3. Supported Payment Methods (subject to availability)
GPDS GAME SHOP supports one or more of the following payment methods. Availability may vary by country, product, or promotional settings.
- Credit & Debit Cards — Visa, Mastercard, JCB, Discover, and other locally supported card brands.

We reserve the right to enable or disable specific payment methods for particular products, promotions, regions, or at the payment processor’s direction.
4. Authorization, Capture & Order Acceptance
- When you submit a payment you authorize GPDS GAME SHOP and our Payment Processor to charge the selected payment method for the total amount (including fees, taxes, and shipping where applicable).
- Authorization does not always constitute acceptance of an order. We may delay acceptance while performing fraud checks or verifying payment. We will notify you by email once your order is accepted and processed.
- For bank transfers and over-the-counter payments, orders are processed after we receive and verify the funds per the payment instruction and reference number you provided.
5. How Payment Data is Handled & What We Store
- Checkout pages are secured with TLS/HTTPS. Card details entered in our checkout are transmitted directly to our PCI-compliant Payment Processor; GPDS GAME SHOP does not store full card numbers, magnetic stripe data, or CVVs.
- We may retain: last four digits of the card, card brand, token identifiers issued by the processor, authorization/transaction IDs, and transaction metadata to process refunds and for accounting.
- For bank transfers and e-wallets, we store confirmation references, payer name, and transaction records necessary to reconcile and fulfill your order.
- If you choose to save a card for convenience, only a token issued by our Payment Processor is stored; the full payment credentials remain with the processor.
6. Security & Fraud Prevention Measures
We follow industry best practices and require our partners to do the same:
- Encryption & TLS — all payment pages use HTTPS to protect data in transit.
- PCI Compliance — payment processing is handled by PCI-DSS compliant providers; we avoid direct handling of sensitive card data where possible.
- Tokenization — saved payment methods use tokens issued by the processor.
- 3-D Secure / Strong Customer Authentication — used where supported to add an extra authentication step (OTP, bank prompt).
- Fraud Detection & Manual Review — automated systems and manual checks are used to detect suspicious activity. Orders may be placed on temporary hold pending verification.
- Access Controls — internal access to order and transaction data is limited to authorized personnel.
- Security Reviews — regular reviews of systems and dependencies to protect customer data.
7. Refunds, Returns, Cancellations & Chargebacks
Refunds & Returns
- Refund eligibility depends on the product type and the product’s published refund rules. Digital top-ups, game credits, and redeemed codes are typically final sale once delivered, unless the delivery fails or we determine an error occurred. Physical goods follow our Returns Policy as posted on the product page.
- Approved refunds will be returned to the original payment method wherever possible. Processing times for refunds are subject to the payment provider or card issuer (commonly 5–14 business days for card refunds; bank processing times may vary). We will notify you when a refund is initiated.
Cancellations
- Orders that have not yet been fulfilled may be canceled per our order cancellation rules. Digital items already delivered are generally non-cancellable. Contact support with your order number for cancellation requests.
Chargebacks
- Customers may dispute a charge with their card issuer; the issuing bank may initiate a chargeback. We will provide supporting evidence to the issuer when appropriate. Repeated or fraudulent chargebacks may lead to account suspension or permanent restrictions.
8. Pricing, Taxes and Fees
- All prices shown on the site are in the currency indicated at checkout. Additional bank or card issuer fees may apply and are the responsibility of the customer unless otherwise stated.
- Taxes (VAT/GST) and any duties will be applied per the laws of the relevant jurisdiction and shown at checkout where applicable. For cross-border transactions or currency conversions, your bank or card issuer may apply conversion or foreign transaction fees.
9. Personal Data: Collection, Use & Legal Basis
Data collected for payment & order processing may include:
- Identity & contact: full name, email, phone number, billing and shipping address.
- Payment metadata: last four digits, card brand, token IDs, transaction and authorization IDs.
- Order details: items purchased, timestamps, IP address, device/browser data to assist with fraud detection.
- Communications: correspondence with customer support for dispute resolution.
Purposes: to process and fulfill orders, handle refunds and chargebacks, detect and prevent fraud, comply with tax and accounting obligations, and provide customer support.
Legal basis: processing is necessary to perform the contract (your purchase), comply with legal obligations, and for our legitimate interests (fraud prevention, record-keeping) subject to applicable data protection law.
10. Data Sharing, Processors & Cross-border Transfers
- We share data with Payment Processors, banks, fraud detection services, logistics partners, and other service providers who process data on our behalf. These providers are contractually obligated to implement appropriate security safeguards.
- When data is transferred across borders, we use contractual safeguards or rely on applicable legal mechanisms required for lawful transfer. If you require details about the transfer mechanism, contact support.
11. Data Retention & Your Rights
- Transaction and order records are retained for business, tax, legal and fraud-prevention purposes for a period consistent with applicable law and our operational needs.
- You have rights to access, correct, erase, restrict processing, object to processing, and request portability of your personal data subject to legal exceptions (e.g., record-keeping obligations). To exercise your rights, contact [support@gpdsgameshop.com]. We will respond in accordance with applicable law.
12. International Customers & Jurisdictional Notes
- If you are located outside the Philippines, local regulations may apply to payments and data protection. This policy is intended to be read together with any country-specific notices or consents presented at checkout. For country-specific legal questions, consult local counsel.
13. Liability, Warranties & Limitations
- We take reasonable steps to secure payments and data, but GPDS GAME SHOP is not liable for losses resulting from the failure of payment processors, delays by card issuers, or unauthorized activity resulting from a customer’s negligence (e.g., sharing passwords).
- Nothing in this policy limits your statutory consumer rights under local law.
14. Dispute Resolution & Contact Information
- For payment or privacy disputes, please contact us first at [support@gpdsgameshop.com] with your order number. We will investigate and aim to resolve disputes quickly.
- If you remain unsatisfied, you may escalate the matter to your card issuer or local consumer protection authority. For privacy complaints, you may also contact the relevant data protection authority in your jurisdiction.
15. Changes to This Policy
We may update this policy for operational, legal, or regulatory reasons. Material changes will be posted on our site with a revised “Last updated” date. Continued use of the service after posting changes constitutes acceptance.
16. Short Customer-facing Snippets (use on checkout / product page)
- “We accept major credit & debit cards, bank transfers, GCash/PayMaya QR, and other secure payment methods. Payments are processed by PCI-compliant partners; your full card number is never stored on our servers.”
- “Need help? Email support@gpdsgameshop.com with your order number.”
17. Implementation Checklist (developer / operations)
- Replace placeholders: processor names, bank account numbers, contact email/phone, and effective dates.
- Add product-specific refund rules (e.g., “Digital top-ups and redeemable codes are final sale once delivered — except in delivery failure cases”).
- Ensure checkout displays available payment methods per region & product (dynamic).
- Configure processor settings for tokenization, 3-D Secure, and webhook notifications for refunds/chargebacks.
- Link this policy from footer, checkout, email receipts, and Tawk/Apollo knowledge base.
- Publish a short FAQ/quick link for “Report an unauthorized charge” and provide a form endpoint for quick reporting.
- Ensure accounting retains transaction logs as required for tax compliance.
18. Sample Contact Template for Customers (support)
When a customer reports a payment or refund issue, request: order number, date of purchase, payment method, last four digits (if card), transaction reference, and a short description. Use this information to reconcile with Payment Processor logs.
